This Privacy Policy explains how Felstow Bookkeeping and Consulting LLC (“Felstow Bookkeeping,” “we,” “us,” or “our”) collects, uses, stores, and protects information in the course of providing bookkeeping services and operating our software integration with QuickBooks Online. We are a Minnesota limited liability company based in the United States.
1. Who this policy covers
This policy applies to the businesses we provide bookkeeping services to (“clients”), to visitors of our website, and to any use of the Felstow Bookkeeping software application that connects to QuickBooks Online.
2. Information we collect
- Contact information. Name, business name, email address, and phone number that you provide when you contact us or engage our services.
- QuickBooks Online data. When a client authorizes our integration, we access financial records from their QuickBooks Online company, which may include chart of accounts, transactions, invoices, bills, payments, customers, vendors, payroll summaries, and financial reports.
- Website inquiries. Information you submit through the contact form on our website.
3. The QuickBooks Online integration
We operate a private software application that connects to a client’s QuickBooks Online company through Intuit’s official, authorized API. Key points:
- The integration is enabled only after a client explicitly authorizes it through Intuit’s secure OAuth 2.0 sign-in flow. We never ask for or store a client’s QuickBooks password.
- The integration requests accounting-scope access so that we can read financial data and record bookkeeping entries on the client’s behalf.
- The integration is used solely by Felstow Bookkeeping to deliver bookkeeping services. It is not a public product and is not used to build advertising profiles.
4. How we use information
We use the information described above only to:
- Provide bookkeeping, reconciliation, reporting, and cleanup services to our clients;
- Communicate with clients and prospective clients about their engagement;
- Maintain accurate financial records and meet professional and legal obligations.
We do not sell personal or financial information, and we do not use client financial data for advertising or marketing.
5. How we store and protect information
- Authorization tokens for the QuickBooks Online integration are stored in the operating system’s secure keychain, with OS-level encryption and per-application access control, and are not shared with third parties.
- QuickBooks Online data is accessed on demand to perform bookkeeping work; we do not maintain bulk external copies of client financial databases.
- Access to client information is limited to Felstow Bookkeeping personnel who need it to perform the engagement.
6. How we share information
We disclose information only:
- To the client who owns the data, or to people that client directs us to share with (such as their accountant);
- To service providers strictly necessary to operate our practice, under confidentiality obligations;
- When required by law, regulation, or valid legal process.
7. Data retention
We retain client records for as long as the engagement is active and for any additional period required to meet professional, tax, and legal obligations. When a client disconnects the integration or ends the engagement, we stop accessing their QuickBooks Online company and remove stored authorization tokens.
8. Your choices and disconnecting
A client may revoke the integration’s access at any time from the Apps area of their QuickBooks Online account, or by contacting us. Revoking access immediately ends our ability to connect to that company.
You may also contact us to request access to, correction of, or deletion of personal information we hold about you, subject to our professional and legal recordkeeping obligations.
9. Children’s privacy
Our services are intended for businesses and are not directed to individuals under the age of 18.
10. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date above reflects the most recent revision.
